Transform Your Productivity: The Power of a "Done" List

Written on

Chapter 1: The Shift from "To-Do" to "Done"

The concept of a "done" list has revolutionized my approach to productivity, surpassing any methods I previously employed. This idea, introduced in the insightful book The Gap and the Gain by Dan Sullivan and Dr. Benjamin Hardy, has transformed my effectiveness in ways I never anticipated.

While the name suggests its purpose, the impact of maintaining a record of completed tasks is profound. I used to believe I was managing my time well, having reviewed over a thousand books in the past eight years. However, embracing the "done" list has taken my efficiency to unprecedented heights.

As soon as I finish a task, I promptly add it to my "done" list. This simple act, which takes mere moments—often recorded in a Word document—offers a significant boost in motivation, both immediately and at the end of the day.

For those who thrive on competition, like myself, this method can become a game to beat your previous day's productivity.

Visualizing the effectiveness of a done list

Section 1.1: The Limitations of To-Do Lists

Checking off items on a to-do list often feels like meeting minimal expectations; it can create a sense of stagnation rather than progress. I know I'm not alone in experiencing a to-do list that expands throughout the day rather than shrinks.

In contrast, adding to my "done" list propels me forward, giving me a sense of accomplishment that fuels my confidence for the challenges ahead. Each entry serves as proof of my productivity, reinforcing the belief that I can tackle whatever lies in front of me.

While I continue to maintain a to-do list for organization, integrating a "done" list has had a significant and positive influence on my daily work.

Section 1.2: A Glimpse into My Daily "Done" List

To illustrate the simplicity and effectiveness of a "done" list, here’s what I recorded on June 8th. It took mere seconds to jot down these accomplishments, but the positive effects lingered throughout my workday:

  • Published 3 Articles on Medium
  • Finished Reading for Next Book Breakdown
  • Sent Next Book Newsletter for Proofreading
  • Sent Personal Thank You Emails to New Members
  • Set Up Time Blocking for Tasks
  • Sent Weekly Book Email to Personal Mailing List
  • Updated Instagram Marketing Plan
  • Updated YouTube Marketing Plan
  • Updated Twitter Marketing Plan
  • Updated 2 Book Notes
  • Worked on 2 Book Notes
  • Worked on Next Book Breakdown

Although some entries may seem trivial, each represents an essential task that I completed, allowing me to move forward and conclude my day with a sense of achievement.

Chapter 2: Further Insights from The Gap and the Gain

I wholeheartedly recommend exploring The Gap and the Gain. It offers invaluable insights that can empower you in your professional life while enhancing your self-esteem.

For those interested in collaboration and teamwork, their other book, Who Not How, has also reshaped my perspective on these topics.

The first video, "To Do: The Problem with Your To Do List," explores the inefficacy of traditional to-do lists and suggests alternative approaches to enhance productivity.

The second video, "Actually Finish Your To Do List! | How to Make Effective To Do Lists," provides practical strategies for creating effective to-do lists and ensuring you follow through on your tasks.

Stay productive,

Matt Karamazov
